Role description and task arrangements

Deputy Secretary

Location: Arnhem
Start date: as soon as possible
End date: May 31, 2027, with the option to extend twice for 3 months each
Hours: 32 per week


In light of a recent advisory report on ArtEZ’s organizational structure, the Executive Office is being expanded. To give the Executive Secretary and Policy Advisor/Deputy Secretary more scope for providing strategic advice to the Executive Board and the organization as a whole, the department is being expanded with a Deputy Secretary, initially on a temporary basis. The purpose of this temporary expansion is, in part, to clarify the desired scope of duties and scale for a permanent expansion of the department.


As deputy secretary, you will serve as the right-hand person to the executive secretary. You will be part of the Executive Office, which, in addition to this new position, consists of the executive secretary, a policy advisor/deputy executive secretary, three management assistants, the staff representative secretary, a employee participation coordinator, and the Data Protection Officer.

Duties and responsibilities 
  • Preparing for and taking minutes of Executive Board meetings, in close coordination with the management assistants, the board secretary, and those proposing agenda items.
  • Communicating decisions to those involved and the organization.
  • Plan, monitor, and implement action items.
  • Helping to prepare for the Planning & Control meetings with the various units of ArtEZ (in consultation with the Executive Secretary, Group Controller, and the Control & Advisory Department) and preparing the reports on these meetings.
  • Where appropriate, provide support for other meetings and consultations at the institutional level.
  • In collaboration with colleagues from the executive office or other departments, prepare and draft executive decisions in various areas, addressing both content and process.
  • Make proposals, either on your own initiative or upon request, for designing and improving decision-making and organizational processes, including the archiving of decisions and documents.
  • Bringing a legal perspective to various areas, while seeking specialized external legal advice when necessary.
Desired profile
You have
  • HBO+ level of work and thinking, preferably a legal degree
  • Several years of work experience as a secretary or policy officer, preferably in higher education
  • An affinity for the arts
  • Excellent command of Dutch and good command of spoken and written English
